Pay Range
$20.40 - $30.60
EDUCATION/EXPERIENCE: High school diploma or GED equivalent with one year office or clerical work experience in a direct customer service role. Experience working in high volume, fast paced environment, answering phones and utilizing electronic messaging. Medical terminology preferred. Knowledge of third party payor requirements. LICENSURE, CERTIFICATION, and/or REGISTRATION: Satisfactory score on a departmental data entry test required. ESSENTIAL FUNCTIONS: 1. Liaison between WFBH scheduling, clinics, and referring practices and providers. Responsible for maintaining excellent relationships pertinent to the scheduling of referrals. 2. Utilizes computer programs and follows established guidelines to schedule, update, and cancel appointments. 3. Ensures coordination of patient care and flow of information by promptly screening calls, delivering clear and concise messages to appropriate party, appropriately documenting patient scheduling information, and effectively communicating with ambulatory clinical departments. 4. Performs complex coordination among Medical Center Physicians, external physicians, patients, nurses, and outside testing laboratories to assure that all necessary tests are performed and paperwork is complete. Coordinates departmental consult service as directed. 5. Coordinates testing for inpatients, using judgment and discretion as to the seriousness of condition to properly plan for transportation, timeframe of tests, and types of test performed. 6. Coordinates surgeries using discretion as to timeframes, instruments needed, room availability, and physician schedule at direction of physician. Obtains pre-certifications and coordinate activities with NCBH as required; assures that patient has all necessary information. 7. Enters and verifies insurance information in EPIC. Interacts with insurance companies for benefit verification as required. Determines if referrals or prior authorizations are required. Performs financial duties such as authorizing or obtaining authorization for insurance, reviewing encounter forms, assisting with medical coding, providing assistance to patients regarding billing questions, etc. 8. Follows departmental and institutional policies and procedures to assure completeness and accuracy of registration data. Ensures accurate billing statistical information and maintains accurate authorization records. 9. Coordinates with co-workers to accomplish departmental work assignments. Strives to meet or exceed target for abandoned call rates. 10. Ensures coordination of patient care documentation by assisting with completion of forms following guidelines, maintaining current knowledge of insurance documentation and authorization requirements, and obtaining referring clinic documentation. 11. Contributes to success of department by assisting with development and implementation of methods to improve customer service and recognizing problems and determining possible solutions. Serves as a courteous and cooperative liaison between patients, medical staff, and outside agencies. Anticipates workflow and prepares accordingly. 12. Updates physician calendars regarding posted surgeries and non-clinic patient appointments. 13. Maintains/updates physician's clinic templates. Cancels clinics and reschedules patient and ancillary appointments at the request of the physicians. Coordinates with the Access Center. 14. Performs other position related duties as assigned. Provides patients and referring practices an optimal pathway to an appointment in our ambulatory clinical setting. Pleasantly and professionally cares for patients during their appointment making process. Courteously answers the phone and processes the patient's request in as timely a manner as possible. Responsible for accurate and complete messaging regarding appointments or requested information. Requires excellence in customer service and telephone etiquette. In addition, provides the same excellent customer service to referring practices while processing incoming referrals whether EPIC work queue, in-basket, phone, or fax based.
